How to Use the Unsold Inventory Report?

Inventory that stays unsold for weeks or months locks up your cash and can eventually lead to losses.

The Unsold Inventory Report helps you spot this stock, understand how much value is tied up in it, and take timely action before it becomes a bigger problem.

With this report, you can:

  • Instantly spot items that have been sitting unsold for weeks or months.
  • Know exactly how much money is tied up in unsold stock.
  • See when an item was last sold to understand how long it has been sitting.
  • Identify which warehouse is holding the unsold stock.
  • Check unsold stock at the item or batch level.

Opening the Unsold Inventory Report

To open the report: Go to Products & Inventory => Unsold Inventory Report

=> Preparing the Report for First-Time

If you're using the Unsold Inventory Report for the first time, you may see an activation card instead of the report. This appears for existing businesses that need to prepare their historical inventory data.

To prepare your report:

  1. Open the Unsold Inventory Report.
  2. Click Open Report on the activation card to start preparing your historical inventory data.
  3. The button will change to Preparing Report... while the data is processed in the background.
  4. Once the preparation is complete, you'll receive a notification with a link to open the report.

After successful preparation, the activation card will no longer appear, and you can access the report directly.

Note: Newly created businesses don't need this activation step. Their stock movement data is maintained automatically, so the report opens directly.

The report shows inventory that has remained unsold for at least the number of days you specify.

Filter the Report

The report lets you choose how long an item can remain unsold and which warehouse you want to check.

=> Items Unsold Since:

Every business has a different selling cycle.

A bakery may expect its stock to move within a few days, while furniture or industrial businesses may expect inventory to sit for weeks or months. So, there is no single number of days that defines "unsold" for every business.

Use Items Unsold Since to set the number of days that best matches your business.

By default, it is set to 90 days, but you can set it anywhere between 1 and 180 days.

=> Warehouse:

The Warehouse filter is available when you track multiple warehouses.

You can select a single or multiple warehouses.

This is useful when you want to find out whether unsold stock is concentrated at a particular location.

Once you've selected your filters, click Apply.

Understanding the Summary Cards

Once you apply the filters, you'll see two summary cards at the top of the report.

=> Total Unsold SKUs

Shows how many different SKUs currently have unsold stock matching your selected filters.

This gives you a quick idea of the scale of your unsold inventory.

=> Unsold Stock Value

Shows the total value of the stock identified as unsold.

This helps you understand how much money is currently tied up in inventory that isn't moving.

Tip: If the Unsold Stock Value is high, start by looking at the items with the highest stock value. These are the items where taking action can have the biggest impact on your inventory.

Take Action on Unsold Inventory

Once you've identified inventory that isn't moving, you can decide what to do with it.

=> Run a Flash Sale

Promote older inventory at a special price to encourage sales.
You can also use previous customer information to reach out to customers who have purchased the item before.

=> Write Off the Stock

If the inventory is no longer useful or commercially viable, you can follow your business process to write it off.

=> Return It to the Vendor

If your vendor allows returns, identify eligible unsold stock and initiate the return process.
The report helps you identify what needs attention and where to start.
