How to add items to your Inventory?

There are three ways to add inventory items on Refrens:


  1. Adding items individually

  1. Adding package items

  1. Adding items in bulk via bulk upload


In this article, we will learn how to add items individually,


Firstly, go to the Inventory Dashboard and click on “Add Item.”:



Once you click on “Add Item”, the following page will appear:


This page has five sections:


  • Item/Product Details

  • Accounting

  • Price and Taxation

  • Stock Management


  • Reorder & Overstock


  1. Item/Product Details:


Here you can add basic Item details such as Item Type, Category, Item Image, Item Name, Unit, Dimensions, Weight, Description, Registered/Preffered Vednors for the item, Tags and more:


When you select an item Category, you will see that the system automatically marks the item as sellable or non-sellable based on its category.


Sellable → available for sales documents

Non-sellable → available only in purchase documents


For example, if an item is in the Raw Materials category, it will not appear in the line item suggestions of sales documents (unless you check "This item can be sold to customers" checkbox).


Similarly, the system will automatically decide whether the stock should be managed for a particular item based on the stock category (you can override this with the "Manage Stock" checkbox).



  1. Accounting:


If you're managing your bookkeeping on Refrens, you can select your Sales, Purchase, and Inventory ledgers from here. Once selected, every time the item is transacted, the respective ledgers will automatically get updated:


  1. Pricing & Taxation:


Here you can configure Currency, Currency Formatting, Buying Price, Selling Price, Landed Cost, Tax rate, etc.



  1. Stock Management:


Here you can add the Initial Stock and set the tracking method for the item:


There are three ways to track items:


  • Batchwise

  • Serial Number

  • Batch + Serial Number


Currently, you can choose either the Batchwise tracking OR No tracking. (Serial Number and Batch + Serial Number options will be available soon.)

  1. Reorder & Overstock


Here, you can set the "Reordering Point" and "Overstock Point" to maintain optimal stock levels and avoid shortages or excess inventory


You can also configure reordering and overstock points at the warehouse level for more precise inventory control.

Once done, click on “Save & Add Item”.
