How to Display Batch Details in Invoice Line Items?

Whether you work with expiry-based products, regulated inventory, or batch-controlled goods, you can display batch-specific details like Batch Code and Expiry Date directly in the invoice line items table. This gives you and your clients complete clarity on which exact Batch is being transacted.


Let’s see how:


Enabling Batch Details in Line Item Columns


While creating an invoice or any other document, go to the Advanced Options section at the bottom of the document creation page:


You will see a checkbox option called: “Display Batch Info in Columns”


Enable this option to show batch-specific columns in your line items table.


These columns are automatically added when:


  • Batch-wise tracking is enabled for the item, and
  • The selected line item contains a batch with the required Batch details.


Adding Items with Batch Details


When you select a batch, the system will automatically fetch and display batch details in separate columns as shown below:


As you see, the details such as Batch Code and Expiry Date will be visible by default. 


If you want to add other batch info (such as…Batch Name, Manufacture Date, Manufacturer) as well, you can go to the “Customize Column” option and select the columns you want to show/hide:


You can also rename or reorder these columns from here.


Important Points to Note
  • Batch column values are auto-fetched and cannot be edited manually in the document.
  • Each line item can have only one batch when batch columns are enabled.
  • The option to add multiple batches for the same line item is currently disabled.
  • Batch details remain fixed in the invoice, even if batch information is later changed in inventory.
  • If your document contains no batch-wise items, enabling this setting will not cause any errors.


Behavior in New and Converted Documents
  • Once enabled, this configuration will be automatically applied to new documents you create.
  • If you convert a document (for example, Quotation → Invoice), the batch column settings will be inherited.
  • Older invoices will not have this enabled by default, but you can enable it if eligible.
