Changes in Inventory Create Permission While Creating Documents

Inventory creation is now controlled independently from document permissions.

Previously, users who could create invoices or other business documents could also create new inventory items through those documents, even without Inventory Create permission.

What Has Changed?

Users without Inventory Create permission can still:

  • Create Invoices and other permitted documents
  • Search for and select existing inventory items while creating documents
  • Enter a new item as a One Time item
  • Save the document with the item name, quantity, rate, and total

However, the one-time item will:

  • Not be added to the Inventory catalogue
  • Not affect stock quantities
  • Not create an inventory record

Example

A user has permission to create invoices but does not have Inventory Create permission.

If they type a new product while creating an invoice, the invoice will save normally, but the product will be recorded as a One Time item. It will not be added to Inventory or included in stock tracking.

If the user selects an existing inventory item, the invoice and stock movement will work normally.

How to Allow a User to Add New Inventory Items While Creating Documents

To let a user add new inventory items while creating documents:

Go to Settings > Open Roles & Permissions > Find the Inventory permissions > Enable Create:

The user can now create new inventory items directly from Inventory or while creating supported documents.

Important

Review your team’s permissions to ensure that users responsible for adding products have Inventory Create access. Document creation permission alone will no longer provide this access.
