How to share, print, and download documents? (And track Email/WhatsApp Statuses?)


In this article, we will discuss all the different ways you can share your invoices and other accounting documents with your clients.


Depending on your needs, you can either share your documents manually by taking a printout, downloading a PDF, or copying the link, or you can share the documents directly via Automated Sharing Options (Email or WhatsApp)


Once your document is created, you will see the different options to share your invoice at the top as well as the bottom.


Manual Sharing Options :



  1. Print:

If you prefer hard copies, click on the Print button on the Invoice Preview page. This will allow you to print the invoice directly from your browser.


  1. Download PDF:

Click Download to generate a PDF of your document. You can then share this PDF via email, WhatsApp, or any other platform of your choice.


  1. Copy Link (Recommended):

Go to Email/ WhatsApp and click on the share option, then copy the Link to generate a shareable link to your accounting documents:


Why use this?


The link is dynamic – any updates made to the invoice will automatically reflect for the client.


You don’t have to resend the link if you make edits.


Automated Sharing Options:


1) Email


When you click “Send Email”, it will open a sliding window like this:


All the fields will automatically be populated based on your client details. You can continue to edit all of them.


Further, you can edit the Subject as well as the Email body message. You can click on “See preview” to see the preview.


When you hit send, the PDF of your invoice as well as the Link will automatically be added to the email.


Also, if you want to send the email at a later time, you can do it by clicking on “Schedule for later.” It will allow you to schedule the email for a later date & time based on your client’s time zone.


Checking if your email was sent and opened:


To check if your email was sent and opened, scroll down your page and look for the Messages to Client section:


Here, you’ll find:


  • The date and time the email was sent.
  • Whether your client has opened the document or not.

2) WhatsApp


To share your document via WhatsApp, click on the Send WhatsApp option:


A pop-up window will appear, with all fields automatically populated based on your client details:


As with email, you can send the WhatsApp message immediately or schedule it for a later date and time.


To check the status of your WhatsApp message:


To monitor your WhatsApp message, go to the Messages to Client section:


Here you’ll find the date and time the message was sent.
