How to Set Default Due Dates for Each Client/Vendor to Auto-Apply Them While Creating Documents?

Manually setting due dates for every invoice or expense can be time-consuming and prone to errors.


With Refrens, you can assign a Default Due Date (Days) to each client or vendor.


This ensures that whenever you create an invoice or expenditure, the correct due date is automatically filled in - saving you time and helping you maintain consistent payment terms.


How to Set a Default Due Date for a Client or Vendor?


  1. Go to Clients or Vendors: Navigate to the Clients or Vendors section from your Refrens dashboard.
  2. Add or Edit a Client/Vendor: Click on “Add Client” or “Edit” an existing client/vendor.
  3. Find the Default Due Date (Days) Field: In the form, scroll to the Additional Details section (below Email and Phone Number), then look for the field labeled Default Due Date (Days).
  4. Enter the Number of Days: Type the standard number of days you want invoices or bills to be due for this client/vendor (e.g., 30).



Click “Save,” and you are good to go!


How It Works When Creating Documents


When you create an Invoice, Quotation, Proforma Invoice, Debit Note, or Expenditure:


  • If you select a client or vendor with a default due date, the due date field will auto-fill based on their setting. You’ll see a notification confirming the due date was updated:




If you manually change the due date, Refrens will respect your choice and not overwrite it.



Frequently Asked Questions


Q: Can I override the auto-filled due date?

A: Yes! You can always manually change the due date on any document. Once you do, Refrens will not auto-update it again for that document.
