How to Push Leads into Refrens Sales CRM Using APIs?

Refrens Sales CRM APIs allow you to send leads from external systems directly into your Refrens Sales CRM.

You can use this to bring leads from website forms, landing pages, internal tools, lead generation platforms, partner systems, or third-party applications into Refrens without adding them manually.

Once the integration is set up, new enquiries can be created as leads in Refrens Sales CRM automatically.

What you can do with Sales CRM APIs

Using the Sales CRM APIs, you can:

  • Automatically create leads in Refrens Sales CRM
  • Attach clients and contacts to a lead
  • Map leads to the right pipeline and stage
  • Assign leads to team members
  • Add lead sources, tags, budgets, notes, and custom fields
  • Safely retry lead creation without creating the same lead again

When should you use this?

You can use Sales CRM APIs when your leads are coming from an external source, such as:

  • Website enquiry forms
  • Landing pages
  • Lead generation tools
  • Internal business applications
  • Third-party CRM or marketing systems
  • Partner platforms
  • Marketplace enquiries

This helps your team keep all incoming enquiries inside Refrens Sales CRM and follow up from one place.

Before you start

Before setting up the integration, make sure your Sales CRM setup is ready in Refrens.

You should check:

  • Pipeline
  • Stage
  • Lead source
  • Tags, if you want to add tags to leads
  • Custom fields, if you want to pass custom field values
  • Team members, if you want to assign leads automatically

The API uses your existing CRM setup in Refrens. It does not automatically create pipelines, stages, lead sources, tags, or custom fields.

How to integrate Sales CRM APIs

Step 1: Generate your API keys

Go to your Refrens business account and open Business Settings > Integrations > Accounting Integrations > Click on Generate API Keys.

Step 2: Prepare your Sales CRM setup

Before sending leads through the API, make sure the required CRM fields already exist in your Refrens Sales CRM.

For example, if you want incoming leads to be added to a specific pipeline and stage, those must already be created in your CRM.

You should also make sure the team members, lead sources, tags, and custom fields you want to use are already available in the business.

Step 3: Connect your external system with Refrens

Once your API keys are ready, your developer or technical team can connect your external system with Refrens Sales CRM.

The technical setup, request format, authentication details, sample payload, and response format are available in the API documentation.

Step 4: Test the integration

Before pushing live leads, test the integration with a few sample leads.

Check whether:

  • The lead is created in the right Refrens business
  • Customer and contact details are added correctly
  • Pipeline and stage are mapped correctly
  • Lead source, budget, tags, notes, and custom fields are captured properly
  • Lead assignment is working as expected

Once everything looks correct, you can start sending live leads into Refrens Sales CRM.
