How to Create & Send RFI (Request for Invoice) Links?

When you are dealing with multiple vendors, it can often be difficult to streamline the invoicing process. Different vendors use different types of Invoice formats and often miss important details that cause a lot of back and forth.

RFI links can help you solve this. While creating an RFI link, you can define the columns and fields that an invoice must have. So, when all your vendors use the same RFI links to create Invoices, it helps you ensure that all your Vendor Invoices have the required data you need to process them.

Let’s see how you can create & send RFI links on Refrens.



Go to Business Settings > Accounting Options > Customised Request for Invoices > click “Create New Link”:



You will see the following form to configure the RFI:


You will see three sections here: 

Link Name: Name this link as per your preference for your future reference.
Customise Invoice Headers: Add custom fields that the invoice header must have.
Customise Invoice Columns: Customise column names, types, and more as per your business needs.

Once done, click “Save” and your RFI links will be ready to use.

All your RFI links will be visible under the “Customised Request for Invoices” section of your business settings:



As you can see, you can edit, delete, or mark a link as Inactive from the “More” options for a particular link.

Click on “Copy Link” to copy the link and share it with your vendors.



When your vendors open your RFI links, they will see a custom Invoice creation page as per your configuration:


Once they create & save the invoice, it will automatically appear on your Refrens dashboard.

Let’s see how:



Invoices your Vendors create using the RFI links will automatically appear on your Refrens account under Purchases & Expense > Suggested Purchases:


You can click on any Invoice to review it and decide if a Vendor Invoice is Accepted OR Rejected:


If you accept a Vendor Invoice, it will automatically get converted into a Purchase and appear in your Purchase Dashboard:
