How to Connect and Use Refrens MCP with ChatGPT and Claude?
Refrens MCP lets you connect your Refrens business with AI assistants such as ChatGPT and Claude.
Once connected, you can interact with Refrens directly through a conversation.
You can ask questions about your invoices, receivables, inventory, expenses, and other business data, or ask the AI assistant to perform supported actions such as creating invoices, quotations, leads, expenses, recording payments, and updating CRM workflows.
For example, you can ask:
- “Show me all overdue invoices.”
- “Which customers owe me the most?”
- “Create a quotation for this customer.”
- “Record ₹10,000 received against this invoice.”
- “Add this person as a lead in Refrens.”
- “Which inventory items are running low?”
- “Give me my morning business digest.”

- “Which customers owe me the most?”
- “Create an invoice for this customer.”
- “Add this person as a lead in Refrens.”
- “Which inventory items are running low?”
How to Check If Refrens MCP Is Connected
Once the setup is complete, start a new conversation in ChatGPT or Claude.
You can simply ask:
“Is Refrens connected?”
Or try:
“Run the Refrens health check.”
You can also test the connection with a real Refrens request such as:
“Show me my latest five invoices.”
What Can You Do with Refrens MCP?
Once connected, you can use normal conversational instructions. You do not need to remember API names or technical commands.
Manage Leads and CRM
You can say:
“Add this person as a lead in Refrens.”
Upload a visiting card along with the message and your AI assistant can use the information to help create the lead.
You can then continue the workflow:
“Set a follow-up for Friday.”
After you speak with the customer, you can say:
“Move this lead to Qualified and add a note that they're interested in the annual plan.”
This lets you continue managing the lead without repeatedly navigating through CRM screens.
Create Quotations and Invoices
You can ask:
“Create a quotation for five quantities of Product X.”
When the customer confirms, continue the conversation:
“Create an invoice for the same customer.”
Refrens MCP supports creating invoices along with other sales documents such as quotations, proforma invoices, sales orders, purchase orders, and delivery challans, depending on the permissions granted to your connector.
Record Payments
When a payment comes in, you can say:
“Record ₹10,000 received against this invoice.”
You can also specify information such as the payment method, date, transaction reference, TDS, or transaction charges where applicable. Refrens MCP includes a dedicated permission for recording invoice payments.
Check Outstanding and Overdue Payments
Instead of opening reports and applying filters, ask questions such as:
“Show me all overdue invoices.”
“Which customers owe us the most?”
“How much money is outstanding?”
“Give me an aging summary.”
Refrens MCP can access invoice payment status, receivables summaries, aging information, overdue invoices, and invoices due soon when invoice read access is enabled.
Record Expenses and Purchases
You can also work with business expenses.
For example:
“Record ₹1,200 spent on client lunch.”
Or:
“Create a vendor expense for this bill.”
Refrens MCP supports creating petty expenses, vendor expenses, and purchases when expenditure permissions are enabled.
Manage Inventory
You can ask:
“Which inventory items are running low?”
Then continue with:
“Show me the stock transactions for this item.”
Depending on the permissions provided, Refrens MCP can read inventory information and perform supported stock actions such as stock adjustments and warehouse transfers.
Get a Daily Business Digest
You can also ask:
“What needs my attention today?”
Refrens can bring together important information such as:
- Outstanding receivables
- Overdue invoices
- Invoices due soon
- Low-stock items
- Critical-stock items
Refrens MCP includes a business digest specifically designed to combine these important alerts into one summary.
If your AI assistant supports scheduled tasks, you can also schedule this to run every morning.
For example:
“Run my Refrens business digest every weekday morning at 9 AM.”
This way, instead of checking multiple dashboards every morning, the important things that need your attention can come directly to you.
Permissions and Security
Refrens MCP uses OAuth-based authorization. During setup, you can choose the minimum permissions required for your use case instead of giving the AI assistant access to everything.
For example, if you only want to check invoices, you can provide invoice read access without providing permissions to create or modify inventory.
If you later change the permissions or revoke the connector, reconnect Refrens MCP from your AI assistant to complete the authorization again.
Your Refrens API credentials should always be kept private.
Reconnecting Refrens MCP
If Refrens MCP stops working or you change its permissions:
- Open the connector settings in ChatGPT or Claude.
- Disconnect or remove the existing Refrens MCP connection.
- Add the Refrens MCP server again.
- Complete the authorization process.
- Select the required permissions.
- Click Authorize.
If Claude reports that a connector with the same MCP URL already exists, remove the older Refrens MCP connector or reconnect the existing one.
