How to Change Client in Existing Documents?
Sometimes, after creating an invoice or another document, you may realise that it was billed to the wrong client.
Earlier, you had to recreate the document or rename the client, which could create duplicate records, incorrect billing details, and confusion in accounts.
Refrens allows you to change the client in eligible issued documents directly from the document edit page.
This keeps your billing, accounting, ledger, inventory, and audit trail records aligned automatically.
How to enable client change for issued documents?
To enable this setting, go to Business Settings > Accounting > Taxation & Billing > Turn on the toggle for Change Client for Documents Already Issued:

Once enabled, you will be able to change the client in eligible existing documents.
How to change the client in an existing document?
Once the above configuration is enabled, just edit the document where you want to change the client.

In the Billed To section, click on the client dropdown, and select the correct client from the list.
Once selected, the billing details will update based on the new client’s information.
Review the document carefully and save the changes.
What happens after changing the client?
When you change the client, Refrens automatically updates the connected records wherever applicable.
This includes:
- Updated billing details in the document
- Updated accounting and ledger entries
- Updated inventory transaction details
- Updated audit trail for tracking the change
This helps keep your records clean without manually recreating the document.
When is client change not allowed?
Client change is available only for eligible documents.
You will not be able to change the client if:
- The document is already paid
- The document is a Credit Note or Debit Note
- E-invoice or E-way bill against that document has been generated
- The document has been accepted by the client
- The document is linked or converted to/from another document
- Reminders are set for the document
- The quotation is already marked as deal done
These restrictions help maintain accounting, compliance, and document accuracy.
