How to Analyse Document Utilisation and Line-Item-wise Fulfilment with Order Management Report?
The Order Management Report helps you track how much of one document has been converted into another.
It shows both:
- Document-level utilisation - how much value has been converted, pending, or exceeded.
- Line-item fulfilment - which item quantities are fulfilled, partially fulfilled, pending, or over-fulfilled.
This is useful when one original document is converted into multiple documents over time.
Let’s take an example -
Suppose you have created an original document worth ₹2,00,000 for a client.
Instead of converting the full amount at once, you create converted documents gradually:
₹30,000 this week
₹60,000 next month
Remaining in later batches
The report helps you answer:
* How much value has been converted?
* Which converted documents are linked to the original document?
* How much amount is still pending?
* Which item quantities are fulfilled or still pending?
* Has any item been over-fulfilled?
Without a report, you would need to open each invoice, calculate things manually, or use spreadsheets.
The Order Management Report automatically calculates all of this for you and shows the complete utilisation status in one place.
How to generate the report
Firstly, go to Accounting Reports > Order Management Report:

You will see the following page:

To generate the report, simply choose -
- Source document (e.g., Sales Order)
- Converted document (e.g., Invoice)
- Date range
This defines what conversion you want to track - and over what period.
Just click on Apply Filters to generate the report:

How to Use the Report?
As you see, each row represents one source document (here for example, a Sales Order) and its utilisation:

How values are calculated
- Converted Amount = Total of all linked documents (e.g., all invoices created from the Sales Order)
- Utilisation %ge = (Total Converted Amount ÷ Source Document Amount) × 100
- Remaining = Source Document Amount − Total Converted
This helps you understand how much value has been converted from the original document.
Viewing line-item fulfilment
You can expand any original document row to view item-wise fulfilment:

For every item, the report shows:
- Item quantity in the original document
- Item quantity in converted documents
- Remaining item quantity
- Fulfilment %
- SKU and HSN/SAC is applicable
This helps you quickly identify fulfilled, partially fulfilled, pending, or over-fulfilled items.
Viewing Converted Documents
To view all the documents converted from a source document, click on the "eye" icon:
slider will open:

Here, you can see:
- All documents converted from this source document
- Document Numbers
- Dates
- Individual amounts
- Payment status
This will help you verify exactly how the totals were calculated.

As shown above, you can also expand each converted document to view its line item details , including: Item Name, SKU, HSN/SAC (for India businesses), Quantity, Rate, Subtotal, Tax Rate, and Total.
Downloading the report
You can export both
A) the complete report, and B) the converted document details of any specific source document.
Just look for the "Download CSV" option for sharing or further analysis.
Supported document flows
You can track utilisation between any linked documents, such as:
- Sales Order → Invoice
Track how much of each Sales Order has been invoiced and how much is still pending to be billed.
- Quotation → Invoice
Monitor which approved quotations have been converted into invoices and identify any missed or partial billing.
- Purchase Order → Purchase Invoice
Compare vendor bills against Purchase Orders to ensure you are billed correctly and avoid overcharges.
- Invoice → Delivery Challan
Verify that all invoiced items have been delivered and track pending or partial fulfilments.
