[Learn how to manage your business with Refrens WhatsApp AI>>](https://help.refrens.com/en/article/how-to-connect-and-use-refrens-mcp-with-chatgpt-and-claude-vsthoz/)

Once connected, you can interact with Refrens directly through a conversation.

You can ask questions about your invoices, receivables, inventory, expenses, and other business data. You can also ask the AI assistant to perform supported actions such as creating invoices, quotations, leads, and expenses, recording payments, and updating CRM workflows.

For example, you can ask:

* “Show me all overdue invoices.”
* “Which customers owe me the most?”
* “Create a quotation for this customer.”
* “Record ₹10,000 received against this invoice.”
* “Add this person as a lead in Refrens.”
* “Which inventory items are running low?”
* “Give me my morning business digest.”

You will need these details while authorizing Refrens MCP.

[See how to generate Refrens API Keys →](https://help.refrens.com/en/article/how-to-generate-invoice-api-keys-for-your-refrens-account-tk0o0a/)

Keep these credentials secure and do not share them publicly.

* Other supported Refrens workflows

Only provide access to the capabilities you want the connected AI assistant to use.

After adding the MCP URL (Connection), you will be redirected to the Refrens MCP setup page.

Enter the following details (The process is just same as we have seen earlier for claude) :

**Business URL Key**

Enter your Refrens business URL Key.

For example:

`{{urlKey}}`

**App ID**

Enter the App ID generated from your Refrens account.

**Private Key**

Enter the Private Key generated with your Refrens API credentials.

### Step 5: Authorize the Connection

Click **Authorize**.

Once authorization is complete, you will be redirected to ChatGPT, and Refrens MCP will be connected to your Refrens business.

You can now ask ChatGPT to access your business information or perform supported actions in Refrens.

For example:

* “Show me all overdue invoices.”
* “Which customers owe me the most?”
* “Create an invoice for this customer.”
* “Add this person as a lead in Refrens.”
* “Which inventory items are running low?”

# How to Check Whether Refrens MCP Is Connected

Once the setup is complete, start a new conversation in ChatGPT or Claude.

You can ask:

**“Is Refrens connected?”**

Or:

**“Run the Refrens health check.”**

You can also test the connection using a real Refrens request, such as:

**“Show me my latest five invoices.”**

# What Can You Do with Refrens MCP?

Once connected, you can use normal conversational instructions. You do not need to remember API names or technical commands.

### Manage Leads and CRM

You can say:

**“Add this person as a lead in Refrens.”**

You can also upload a visiting card with your message. Your AI assistant can use the information on the card to help create the lead.

You can then continue the workflow:

**“Set a follow-up for Friday.”**

After speaking with the customer, you can say:

**“Move this lead to Qualified and add a note that they’re interested in the annual plan.”**

This lets you manage the lead without repeatedly navigating through CRM screens.

### Create Quotations and Invoices

You can ask:

**“Create a quotation for five units of Product X.”**

When the customer confirms the quotation, continue the conversation:

**“Create an invoice for the same customer.”**

Depending on the permissions granted to the connector, Refrens MCP can help create invoices and other sales documents, including:

* Quotations
* Proforma invoices
* Sales orders
* Purchase orders
* Delivery challans

### Record Payments

When you receive a payment, you can say:

**“Record ₹10,000 received against this invoice.”**

Where applicable, you can also specify:

* Payment method
* Payment date
* Transaction reference
* TDS
* Transaction charges

Refrens MCP includes a dedicated permission for recording invoice payments.

### Check Outstanding and Overdue Payments

Instead of opening reports and applying filters, you can ask:

* “Show me all overdue invoices.”
* “Which customers owe us the most?”
* “How much money is outstanding?”
* “Give me an ageing summary.”

When invoice read access is enabled, Refrens MCP can access:

* Invoice payment status
* Receivables summaries
* Ageing information
* Overdue invoices
* Invoices due soon

### Record Expenses and Purchases

You can also record business expenses through a conversation.

For example:

**“Record ₹1,200 spent on a client lunch.”**

Or:

**“Create a vendor expense for this bill.”**

When the required expenditure permissions are enabled, Refrens MCP supports creating:

* Petty expenses
* Vendor expenses
* Purchases

### Manage Inventory

You can ask:

**“Which inventory items are running low?”**

You can then continue with:

**“Show me the stock transactions for this item.”**

Depending on the permissions provided, Refrens MCP can read inventory information and perform supported stock actions, including:

* Stock adjustments
* Warehouse transfers
* Stock transaction tracking

### Get a Daily Business Digest

You can ask:

**“What needs my attention today?”**

Refrens can bring together important business information, including:

* Outstanding receivables
* Overdue invoices
* Invoices due soon
* Low-stock items
* Critical-stock items

Refrens MCP includes a business digest designed to combine these important alerts into one summary.

If your AI assistant supports scheduled tasks, you can also schedule the digest to run automatically every morning.

For example:

**“Run my Refrens business digest every weekday morning at 9 AM.”**

Instead of checking multiple dashboards every morning, the important information that needs your attention can come directly to you.

# Permissions and Security

Refrens MCP uses OAuth-based authorization.

During setup, you can choose the minimum permissions required for your use case instead of giving the AI assistant access to everything.

For example, if you only want to check invoices, you can provide invoice read access without granting permission to create invoices or modify inventory.

If you change the permissions or revoke the connector later, reconnect Refrens MCP from your AI assistant to complete the authorization process again.

Always keep your Refrens API credentials private.

# Reconnecting Refrens MCP

If Refrens MCP stops working or you change its permissions:

1. Open the connector settings in ChatGPT or Claude.
2. Disconnect or remove the existing Refrens MCP connection.
3. Add the Refrens MCP server again.
4. Complete the authorization process.
5. Select the required permissions.
6. Click **Authorize**.

If Claude reports that a connector with the same MCP URL already exists, remove the older Refrens MCP connector or reconnect the existing one.
